Bulk Appointment Invoicing - User Guide
The Bulk Appointment Invoicer allows to you generate invoices from a list of appointments that haven't yet been billed.
If you are setting up Bulk Appointment Invoicing then you should first review the Manager Guide.
You will need Admin Reports user permission to be able to access this report
Typical flow
If this is your first time doing bulk appointment invoicing: please invoice a single appointment first and double check that it looks correct in Nookal before attempting larger batches
- Log in to The BOS and go to Admin => Uninvoiced Appointments
- Filter the appointments appropriately (EG: 'private paying consults from last week')
- Tick any appointments you want to generate an invoice for (left most column) or use
Select All
if you are feeling confident - (optional) Click on the
Billables
for any particular row to edit the invoice that will be generated (IE: change quantity, service, price) - (optional) use
Bulk Add
button if you need to add an additional line item to the invoice (typically used for adding a separate 'Travel' charge) - Click
Bill Appointments
once you are ready to go. You will get a confirmation screen with warnings (if any) and the option to merge the charges for multiple appointments into a single invoice if you have multiple appointments selected for the same patient/payer. You can press cancel at this stage and no appointments will be billed. - Once you click to confirm the appointments will be immediately invoiced in Nookal and marked as invoiced in The BOS.
Tips
- Adjust your filter settings so that all the invoices requiring identical changes can be done at once. EG: filter for all appointments that require travel added so you can then just "select all, bulk add travel, and send it!"
- If you are adjusting the quantity of items to match appointment time (EG: setting a quantity of 0.5 for a 30 min appointment) then ask your manager to adjust the
PriceIsPerHour
setting on the product so that this happens automatically
