Lead 'Associated Appointment' linking

Each lead in your system can be associated with an appointment. This is done automatically by the system based on a set of preset rules. Contact BOS support if you wish to customise these conditions. Each appointment can only be associated with one lead, otherwise you could have multiple Leads "converting" with one attendance.

Users cannot manually associate leads with appointments. This is to prevent manipulation of data as Sales KPI / Commission are potentially calculated based on these metrics

Lead 'Associated Appointment' formula

For each lead in the system that matches the following criteria:

Isn't in Closed Lost stage
Either isn't associated with an appointment or is associated with an appointment that is CXC or DNA

Find a matching attendance:

Attendances by the patient that is associated with the Lead
Not cancelled or DNA'd
Not already associated with a Lead
Is in a location "in or under" the selected division of the Lead
Attendance booked no more than 12 hours before Lead created (IE: can't make a lead today for somebody who booked in 2 days ago)
Find earliest appointment date from matching list

Examples:

Situation	Result	Explanation
Kim books in an appointment. A lead with matching details is made exactly one day later	Not Associated	This client became a customer (booked in) well before the lead was created. If she truly was a lead it should have been entered in earlier.
Tash books in for a Home Visit a week after a lead is made for her with division Clinic	Not Associated	The timeframe matches but it's a different location. You could solve this by setting the division to be 'higher up' (EG: whole company) if unsure of what location/division they are booking in for.
A lead is created for Janus in Clinic. He books in a month later.	Associated	The lead is associated with the appointment. it is presumed that the 'sales conversion process' took a month to get the client over the line.
A lead is created for Gertrude. Unrelated, another lead is created 3 months later. Gertrude books in shortly after.	Associated with last lead	The appointment will be associated with the most recent lead before the appointment date. Each appointment can only be associated with one lead.
