Leads: Managing Cases
Part of the lead flow process is collecting patient information such as:
- Patient details (name, DOB, contact details)
- Case details (condition, referrer, payer, sessions/budgets)
- Patient Documents (referral, signed contracts etc)
These features depend on the BOS plan you are on. Lead tracking and Case Intake are two separate features.
Case details
To create a case for the patient you must first send the patient to your PMS (IE: nookal or cliniko) so that they have a patient account. Once you have done that you will be able to access the Cases & Documents tab.
From here you can collect case details such as the referrer and payer as well as sessions/budget allowances. Once this is done you can instantly send it to your PMS by pressing Save and Ship. This way the whole lead flow is done from The BOS, rather than tracking leads in one system and the actual patient and case in another.
Notes:
- Any information entered in the Reference section will appear on all invoices. This is useful for patient IDs, claim numbers, purchase order numbers, branch numbers, NDIS numbers, etc.
- Entering Case manager details allow you to send reports directly to them if required.
Referrers
The Referrer under the Case Title is used to track how the client heard about us. This field is vital, as reports can be pulled from the Mega Report. This is particularly useful for outgoing sales initiatives, referrer tracking and relationship building.
The Referrer under the Payer links to how we are getting paid.
In some cases, these may be the same. However, they can also be different, so it’s important to ensure both fields are inputted as different reports in The BOS will reflect this information.
Documents
Once you have sent the patient to your PMS (IE: nookal or cliniko) you can then upload Patient Documents. These are never stored by The BOS, they are directly uploaded to your PMS.
Because of how the PMS works you are able to see any files uploaded via The BOS in both systems (BOS and PMS) but any files uploaded via PMS are only visible there and The BOS can't see them.
