Practitioner Teams and Visibility on Practitioner Report

What can users see?

The data you can see on practitioner report is based on a few settings:

  1. What rows have been allowed for your User Role (EG: Booked Hours or Revenue)
  2. What Org Node your user account is attached to (EG: Whole Company or Location 1 or Gold Coast Region)
  3. Your practitioner view setting (discussed below)

For example: if you can only see Booked Hours row for Gold Coast Region for Myself then you will only be able to see booked hours done by you on the Gold Coast. You won't be able to see other practitioners hours on the Gold Coast, or your own hours outside of the Gold Coast, or any other row on the Practitioner Report.

Practitioner Visibility Setting

Each User Role in The BOS has a Practitioner Visibility setting.

Setting Description Typically used by
Nobody Can not see Practitioner Report Admin roles like bookkeeper who don't need to see practitioner data
Myself Can see data for their practitioner account Most practitioners in the business so they can see their own metrics
My Team Can see data for any members of teams they are a lead for Team leaders who don't "fit" perfectly in Org Structure
Everyone Can see all data General Manager, CEO etc
Do I need a practitioner team?

If you can manage your business fine without practitioner teams then it's easier not to use them. 

If your managers manage the whole location then putting them in the appropriate Org Node and setting them to 'Everyone' means they can see everyone in those locations, and if a new practitioner is added they will be able to see them too without requiring you to add them to a team. 

If you only want them to see some practitioners (possibly in multiple locations) then you will need to create a practitioner team. The user will need to be placed high enough in the Org Structure that they can see all locations they need to access. For example if they have some team members in Location 1 and Location 3, you will need to choose an Org Node that contains both locations higher up in the structure. 

Practitioner Teams

Each practitioner has the following properties:

Name Used for your own reference, can be anything. 
Leads The users who will be able to see data for the team members. You can have multiple leads if you multiple managers. A user can be a lead for multiple teams. 
Members The practitioners who will be visible for the team leads.

The team settings will not apply if the user has a Role that isn't set to `My Team` (EG: if they can see `Everyone` then that overrides the team settings. 

Because of the multiple layers of permissions you should always test the Practitioner Report as the user to make sure you have set it up correctly. For example: when making a new team member, create the account, set up the roles, permissions and teams, then log in as the user to confirm you are seeing what you expect before giving them the password.
